As a marketing team of one at Trove, I was manually building our weekly Artifact of the Week email from scratch every week: picking the featured artifact, writing the copy, formatting it for HubSpot, and pulling together preview images. It ate a real chunk of my week, and with everything else on my plate as solo CMO, it was one of the first things that got rushed or pushed when a launch or a fire came up.
I built a system that takes any public Trove artifact link and turns it into a complete, ready-to-send weekly email in two formats: "The Dispatch," a designed publication-style layout, and "The Case File," a version wrapping my own voice around a branded card. Both come out as HubSpot-ready HTML with PNG previews, plus subject line options and CTA variants for both existing users and our waitlist. It also drafts the optional heads-up note I send to the person being featured before the email goes out.
The result has been consistency more than raw time savings: every single week now gets a real Artifact of the Week send, in both formats, instead of some weeks getting skipped or only getting the quicker option because I was out of time. I review, tweak the copy to match what's actually notable about that week's artifact, and send, rather than starting from a blank page each time.
